# Adding Members Manually

Use this when a customer wants to join over the phone, at a tasting, or by email.

#### Before you start

* Have the customer's email address ready.
* A customer with a saved payment method and a complete address in Shopify can be enrolled directly. Anyone else gets a payment link.
* Confirm which club you're adding to.

***

1. Open **Members** → **Add Member**. From the general **Members** page rather than from inside a club, a club picker appears first — choose the club and click **Continue**. **Add Member** is disabled on an archived club's own members page, but the picker on the main **Members** page lists archived clubs too, and the add goes through.
2. Enter the customer's email under **Customer email** and click **Look Up**. CrushSuite searches Shopify for that customer and checks for an existing membership in this club.
3. If a membership already exists, the modal blocks the add and explains why. Two of those banners read:

   * **"This customer previously left this club. Use the Rejoin option on their member detail page instead."**
   * **"This customer has a paused membership in this club. Use the Resume option on their member detail page instead."**

   Both point you toward a Resume or Rejoin option on the member detail page. There is no such control in the admin. Members manage pausing, cancelling, and rejoining from their account portal. If a member asks you to do it for them, send them their portal link — every club email contains one.
4. If nothing blocks the add, you'll see two options.

***

#### Option 1 — Automatically add this customer to the club

Available only when the customer has a saved payment method and a complete address on file in Shopify. Select a payment method under **Select a payment method**, leave **Send welcome email to member** ticked if you want one sent, and click **Add to Club**. The contract and membership are created immediately.

{% hint style="warning" %}
Option 1 creates the contract but doesn't schedule a membership-fee renewal. If your club charges a fee and you need it to bill on cycle, use Option 2 so the customer goes through a real checkout.
{% endhint %}

#### Option 2 — Or create a draft order

Always available, and the only option for customers with no Shopify account, saved payment method, or complete address. Choose one of the three, shown as **Option A**, **Option B**, and **Option C**:

* **Send Invoice Email** — emails the customer a link to pay.
* **Get Checkout Link** — generates a URL you copy and send yourself.
* **Create Draft Order** — creates a draft order you finish manually from **Shopify Admin**.

For a **free** club, this option shows a **Payment verification fee ($)** field pre-filled with `0.05`. It has to be at least `0.01` — the buttons stay disabled if you clear it or go below that. The charge lets Shopify collect a payment method alongside the $0 membership, and you can refund it once the draft order becomes a real order. A free-club signup at POS works differently: it checks out at $0 with no fee, and if the customer has no usable card on file, they get an email afterward asking them to add one. There's no fee at POS, and no automatic add-payment email from this admin path.

#### How to check it worked

A paid draft order doesn't always produce a contract. If the payment leaves no saved card on the Shopify customer record, the membership is created without one — they won't be billed and won't get release orders. Check **Payment** on their member detail page afterward.
