# Membership Billing & Payment Retries

If your club charges a membership fee, that fee bills on its own schedule — completely separate from any release orders the same member gets billed for.

#### How the fee is priced and billed

The membership fee renews on your club's **Membership Renewal Frequency** — any whole number of months from 1 to 12.

The first renewal date is set when the membership is created and the fee resolves above zero: at storefront checkout, or when a POS or draft-order signup is processed. Members added with **Add to Club** in the admin don't get a renewal date, so their membership fee never bills.

CrushSuite checks for due renewals every hour, on the hour, and charges anyone whose renewal date has passed in your store's timezone. Paused and cancelled members are skipped, as are members with no payment method on file and members of archived clubs.

The fee CrushSuite bills on renewal comes from the member's own Shopify subscription contract, not from your club's current **Membership Price**. Changing the price on your club settings does not re-price any existing member — it only applies to people who sign up afterward. If you need to change what a current member pays, that has to happen on their contract directly in **Shopify Admin**.

#### Retries when a charge fails

A failed membership charge doesn't cancel anyone outright. CrushSuite retries according to three settings under **Settings** → **Billing & Retry**:

Open **Settings** and click **Save Settings** once, even if you change nothing. Until you do, a failed membership charge is recorded and nothing else happens — no retry is scheduled, and the member is neither paused nor cancelled.

**Pause membership** stops billing that member. Nothing restarts it automatically — the member has to add a working card and press **Unpause Membership** in their portal. Sending them their portal link is the fastest fix. **Cancel membership** removes them from the club outright, the same as if they had cancelled it themselves.

Shopify applies its own limits on how often a single payment method can be retried, independent of what you configure here. Keep **Max Retry Attempts** and **Retry Interval** modest — a high attempt count paired with a short interval is more likely to run into them.

#### The gap to watch for

Failed release order billing emails the member automatically. Failed membership fee billing does not — watch for the **Membership payment failed** badge on your Members list and reach out to the member directly.

Because this failure is silent to the member, it's worth checking your Members list periodically rather than waiting for them to notice their card was declined. The badge appears as soon as the first failed attempt is recorded, well before retries run out.

The same applies at the end of the retry run. When retries are exhausted and CrushSuite pauses or cancels the membership, the member isn't emailed about that either. Reach out before you let a member reach that point.
